Bulk Exporting Data

๐Ÿ“˜

Learning Objectives

  • Understand how to configure and launch a data export
  • Know the best practices
  • Be aware of the limitations and precautions to follow

The Quable PIM export feature allows you to generate data files based on your specific needs. Below are the main steps to launch a bulk export and the associated best practices.

Steps to Launch an Export

  1. Access the Export Interface
Go to the "Launch Export" page via the "Data Flows" sidebar menu.

  2. Configure the Export Settings
The configuration is divided into four sections:

Export Profile: Choose whether or not to use a predefined profile.

  • No profile: For one-time exports.
  • With profile: For recurring exports.

Export File Format: Select the desired format (CSV or XLSX).

  • CSV: Customizable (separators, date formats, etc.).
  • XLSX: Standard format, no configuration needed.

File Destination: Define where the file will be saved:

  • Local: On your computer.
  • Remote: On a server (HTTP, FTP, SFTP).

Mapping: Precisely configure which data will be exported.

  1. Launch the Export

Once all sections are filled, click "Export Data."

Best Practices for Data Export

Prepare the Data:

  • Ensure that the objects to be exported are properly classified.
  • Verify that the required attributes are filled in to avoid errors or missing data.

Use Export Profiles for Recurring Tasks:

  • Profiles help save time and ensure consistency between your exports.

Adapt the File Format:

  • For large exports, prefer the CSV format.
  • Configure separators and formats based on the systems that will use the file.

Leverage Advanced Features:

  • Joins: Combine data from related objects to enrich your exports.
  • Advanced Filters: Limit the exported data to those that meet your specific criteria (JSON skill required).

Check the Quality of the Exported File:

  • Download the file and inspect the data to ensure it meets your expectations.

Limitations and Precautions

  • Exports combining joins are limited to 500,000 rows.
  • A document not classified in the PIM will not be included in the exports. Make sure all objects are properly classified.
  • Mapping is mandatory for custom exports, be sure to define all necessary columns before launching the export.
  • By following these steps and best practices, you can optimize your exports in Quable PIM and avoid common mistakes.
